Just this application season, my Val stated her application, did not finish and was granted an extension to submit her application late by Questbridge (is currently a finalist) and the school accommodated her and uploaded her documents with in minutes of the request.

Our guidance department also request electronic copies of all recommendation letters in the event that they need to be uploaded through Naviance (in case the teacher forgot), through the SUNY portal or to be directly emailed to an admissions office (we send out very little paper. All counselors have copies of individual transcripts, school copies of SAT scores, signed and sealed and recommendation letters on external hard drives that they take with them home on the weekend in the event that they get an email request for information that they can accommodate our student request ( heard a lot of flack about it on monday morning after the Questbridge deadline because counselors were uploading recommendation letters, school profiles and letters for the initial September deadline). We got buy-in from the counselors by paying an hour of per session for counselors check and respond to email request and to upload documents during application season.

In addition, students and parents get a timetable at the end of junior year and on the first day of school as to when everything has to be submitted in order for transcripts and letters to go out in a timely manner. I also know that there are teachers who get a lot of requests for recommendation letters and they set deadlines for junior year so that they can write letters over the summer (unpaid).

90% of the time when there is a mad rush for documents to be sent at the last minute it is on the part of the student waiting until the last minute to request information.
