I am helping to coordinate the feeding and housing of a middle school group of about 50 attending the Science Olympiad at UCF next week. I've never been to UCF, so I'm going in a bit blind.

Because the opening ceremonies start early, the students won't be able to eat dinner until much later, so I've been tasked with providing a snack and a location where everyone can meet before entering the UCF arena at about 5:00. I've had no luck booking a meeting room at any nearby hotel, and a restaurant would take too long, so at this point, I'm wondering if the best thing may be to find a grassy spot outside and carry in and out our snack and trash. On the map, I noticed there is a grassy area called Memory Mall directly across the street from the area. Does anyone know if this would be a good location? I'm worried that it will be very hot in the blazing sun - don't see many trees on google maps. I'm also worried about what we would do if it rains.

Any and all advice or help is greatly appreciated!

Can’t you just a reserve a room in the student union at UCF and just order pizza or something? That would be your best bet, I think. I would call them as soon as possible and see if there are any available. There should be as a lot of students are done with classes for the term. From the student union to the arena isn’t that far of a walk either. Just walk through the back doors where all the food places are located at and cross the little bridge… just ask people from there or look at the map. Hope you find a place! Good luck!

If you can’t get the SU, Memory Mall should be okay…There aren’t many Summer classes held Friday, so there shouldn’t be too many students passing by. If you want a more quiet place, the grassy area between Tower III and Tower IV near the arena should be okay. I don’t think you would need approval to sit there, but I’m not sure. There’s also a few tables. There are also tables outside the arena…not enough to hold 50, but it’s a large area.

Thanks for the advice - there will be thousands of middle and high school students there for the Olympiad, and the union is already being used for other events. I’ll check out the area between the towers - sounds like a good spot if tables are there.
