How do colleges update application files?

I recently had a change in my application where I was no longer eligible for a program based on my parent’s citizenship. I had earlier included the fact that I was selected for this program in one of my college applications and so thought it right to send the admissions office an email updating them that I was no longer eligible for the program. I received a response that my application file had been updated. I hadn’t exactly structured my email as an update to be made in my file. So now I was just wondering - would they paraphrase my email and update my file? Is there a chance my file would just be updated with the fact that I’m no longer eligible for the program and not the explanation for the same? Sorry, just worried.

They add your update to the file. They do not change anything already sent.
