IDOC Send only one copy of each W-2

The IDOC Instructions state:

Send ONLY one copy of each W-2 Form requested. S and I each received our W-2s on a sheet that contains multiple copies. I had just copied that entire sheet, but realized upon re-reading that that they may expect us to cut out a single copy and photocopy just that onto a full 8.5x11 piece of paper.

Anyone know?

correct. You just need one copy for each job or person copied onto a full sheet of paper.

I just noticed that our instructions request W-2s and 1099s only from the parents and not from the student. Weird. Even though he is not filing a tax return (income is too low) he does have a W-2 and a 1099-OID. Guess I need to reprint my cover sheet and not bubble in the spots for W-2 and 1099s on the student side…

mathmom - I’m not sure you have read the instructions correctly for your son. A student who does not have enough income to require filing a tax return still needs to complete the Non Filers Statement and provide a copy of any W-2s or 1099s. You also list the source of each bit of income on the Non Filers Stmt.

And yes - separate the sheet of W-2s - and copy 1 W-2 per sheet of paper.

This is exactly what our instructions say:

I’m reading this to state that we need to send a Non-tax Filer’s Statement for S, but not the W-2 and 1099. The income from the W-2 and 1099 are already document on his non-filer form. They explicitly ask for “your parents’” W-2 forms and 1099 forms, but I don’t see anywhere that they ask for his.

I think the requirements may be different for each family, depending on which colleges they are doing it for??

Ok - look at the last sentence of the first paragraph.

“If you (and your spouse) are not required to file a 2010 federal or equivalent income tax return, you must submit a Non-tax Filer’s Statement and supporting documentation.”

The word “you” in this sentence refers to the student.

The phrase “supporting documentation” means W-2s/1099s. It is spelled out clearly at the top of the Student Non-Filer form.

The student non tax filer form is the same for everyone - there are not different versions of it.

You need to complete that form - have your son sign it - and provide a copy of any W-2s/1099s - copied one to a page. The form is on the right-hand side of the IDOC home page - you can print it out.

Ok, I already had printed and prepared the non-filer’s form, but hadn’t looked at it today. So when I was going down the list of things in our instructions, and didn’t the student’s W-2 and 1099s listed, I thought i had copied them erroneously. But you are correct, the non-filer’s form does ask that those be provided. It’s just that on the instructions list, they are hidden under “supporting documentation”. Thanks. Now I just need to cut up the W-2s and copy only a single one instead if the copy of the whole sheet with multiple copies that I have now…

Having so much fun, but almost done :)

Thanks for catching my error with the student’s supporting forms!

btw, does that mean that if he were filing a tax return he *wouldn’t" need to provide his W-2 and 1099? Just curious ;-)

That would seem to be the case from the wording of the instructions - but not so from the itemized list cover sheet. If he were completing a tax return - I would include the W-2s/1099s.

Another question on this multiple copy issue–Both my H and I get multiple pages with w-2 forms for filling with fed and 2 different states + one version that also has a w-2 and earnings summary. Originally I was just going to send a copy of all pages, but after reading this and other IDOC threads, I’m thinking I should just cut one out and photo copy it. Is this correct and which one do I send–just the fed because they only ask for the fed return or maybe the “employee reference copy” with the summary attached. That version has 4 different versions of my income.

I don’t know for sure if this is correct, but I sent the federal version.

I also copied just the Federal one - since you are sending just the Federal tax return - that seemed to make the most sense. I don’t see any reason to send the employee reference copy - that is just for your own personal info.

This thread is almost 2 years old so I assume people have been cutting the W2s but since my CPA returns my copies and they usually fit on one page I have been xeroxing multiple W2 (State federal personal copy) on the page and nobody barked at IDOC about it-I think they just do not want W2s from different employers etc. on one page. It is interesting they say to provide copies of front and back of all tax documents but I am 99 percent sure I never copied the backs as some just have addresses while others do have information explaining certain boxes peculiar to a particular W2-I assume they know what all those codes are so just doing the fronts for W2s and 1099s-pretty sure that is what I did last year but W2s are “tax docs” technically but assume they mean don’t give copies of your 1040 front only (obviously). Why they can not deal with double sided copies is a major waste of trees however!
