Two of the conservatories to which my son has applied have online application status pages which can be logged into in order to determine the status of one's application (i.e. which materials have been received: prescreening recording, letters of reference, transcript, etc.).

I realize that this is an incredibly busy time of the year for the admission offices at conservatories and that it would be difficult to process all the mail quickly. I do not want to call them at such a busy time of year unless absolutely necessary. However, materials which arrived a week and a half ago (according to the tracking information from the courier) are still not listed as received. In particular a recommendation sent electronically almost a month ago is still not listed as received.

I think that it is possible that the conservatories do not update these electronic systems for weeks after receiving materials. My evidence for this is that we received an email almost a month ago indicating that a reference had been received electronically, but the application status page still does not list it as received.

At what point would it be wise to phone to ask whether stuff has been received? Has anyone else had any luck with these online application status pages showing that stuff has been received? So far my son's pages do not show anything as having been received at either conservatory.

had a student’s mom call last week about a pre-screen that wasn’t recorded as received although Fed Ex delivery receipt was in hand. Was told that they had at least five bags of unopened mail.

As far as contacting Admissions, late next week or the next (?) - just to be sure that they are 1) either still processing or 2) there is a problem that needs to be resolved. Anyway, that would be my thinking. If pre-screen shows not received, I’d want to check about that before the review process is concluded.

Isn’t it frustrating??? And nerve-wracking! It’s hard not to jump on the phone when an official “status” looks wrong, suspicious or nervous-making!

I’ve posted this story before, and it goes back quite a few cycles, when online status checking was the exception than the norm.

Son sent his audition tape to School A, we had written confirmation it had been received. Meanwhile, he got an offer he could not refuse, and he was happy. 10 days after the hear by date, he still hadn’t heard from A. He called, they said they never received it. Faxed a copy of the confirmation letter, and they would not let him resubmit. I called and asked about a refund of application fees, and got no where with the adcom. A call to the Director of Admissions, the name on the confirmation letter got a check in our hands within a week.

But only after a threat of bad publicity in a few specific publications.

The school is not important now, probably I named it in another thread. It was the '01 cycle and the school has long been on an online system, and they are actually one of the most organized.

But remember, do what YOU need to do to feel comfortable that what you sent is there and accounted for. Stuff can fall through the cracks. Print all confirmations, file and keep everything and stay organized. Dot your “t’s” and cross your “i’s”. Use the chain of command, but don’t be reluctant to jump up two levels if need be or are getting stonewalled or have conflicting info. If there is a screw up on admission’s end, ask them what THEY intend to do to make it right.

DS had the same issue with a recommendation to a conservatory. They never received the first or second ones sent by the SAME person directly to them. We finally had a third one sent with a return receipt request. They GOT that one. BUT DS also sent everything into his schools MONTHS before the deadlines so he was able to check and recheck. This one conservatory was the only one where he had any difficulty with stuff not getting recorded. However, it was also the place that did not return any phone calls or emails to set up a post acceptance visit. He decided not to go there. Like Violadad…the name of the school doesn’t matter at this point. That was a long time ago.

DD had problems with one very elite conservatory. For some reason it was the only one we did not check on everything until we had not heard about an audition date a litle under 3 weeks before they were to start. They had recorded receiving some info but not her application. They graciously were going to allow us to overnight a new copy of everything but by then DD had decided she did not want that environment so we did not follow through. It is really important to keep following up, but right now they are kind of buried. Maybe in another week. Depends on when auditions would be scheduled.

Something to remember… Many schools (even the admissions office) will be on break off and on starting withing the next few weeks. So, if Thu are concerned you may want to check sooner rather than later.

Boston Co’s app status says that my transcripts, test scores, and rec letters have not been recieved. I have the recipets that prove that everything was sent and recieved. However, they make it very clear that if they do not have anything, the prescreening will not be viewed. So, what can I do?

When did you send them and what is the received date on the receipt? It’s not an instantaneous turnaround from them physically “having” all the materials to the actual update of status on-line. I would give it a week, maybe 10 days, and then react by calling or emailing.

Keep your receipts. In the event they request copies, don’t send the originals.

Rose, do call them. BoCO does tend to be one of the later schools to notify, but it’s not a matter of that at this point if they claim they don’t have your things. You can print the page from the testing web site and have your school fax that to Boston. Were the transcripts, etc sent directly from your school or did you send them? Did someone at BoCO sign for them? Don’t wait, call them on Monday and politely request that they check since your records don’t agree with theirs.
For all of this year’s seniors who need to talk to someone at a college during the day, go to your HS’s Guidance Office and ask to use their phone. My D had to do that several times last year and not only was she able to reach admission’s office staff when they were able to take the time to answer, she didn’t spend the day fretting about the problem!
