Schools Docs: "Submitted" vs. "Downloaded" ???

<p>After much angst, my son's counselor has successfully uploaded his transcripts/school profile and teacher LOR to CA via Naviance. I can now see the status "Submitted", along with a date under the "Assign Recommenders" tab for each school.</p>

<p>Under some schools, I see the status "Downloaded", with a newer date.</p>

<p>I'm confused about how this works and what these statuses mean. Does CA push the docs to the schools, or do the schools need to go into CA and pull the docs off it?</p>

<p>I'm getting worried because my son is applying to UNC and, although the counselor uploaded the docs on Oct 15, UNC hasn't received them yet. The deadline for school docs in Nov 1. The status in CA for UNC still shows "Submitted" status and the UNC student portal says those docs have not been received.</p>

<p>What can we do to assure those docs get to UNC??</p>

<p>Schools download. Submitted means everything is done on your end or your recommenders’ end. Downloaded means the school has pulled the material down from the common app. Some schools won’t start downloading until the day of, or even after, their deadline.</p>

<p>And, some schools have a delay between downloading and the system notification. If there is a concern, the counselor can call.</p>

<p>It may take a week before the school downloading it, then it may take another week for the school to update file it and update their database. You just need to follow up in a time manner on the school portal.</p>

<p>Some schools seem to download very quickly others take a while. The time from when it says downloaded on the CA to when it uploads to the school’s weblink could be days/weeks as well. Same with matching ACT/SAT scores to your account. </p>

<p>I wouldn’t worry until it says “downloaded” on the CA but after a few weeks still says “Needed” on the school’s website. If that happens it might be worth a phone call. Don’t panic, it sounds like you have your stuff turned in in plenty of time, it is on UNC’s end now…</p>

<p>Yes, it varies a lot. I’ve seen one school downloaded within 1 day and updated their database the next day. I have also seen one school leave the teachers LOR not downloaded until 2 weeks later and take another week to update their record. And yet there is another school that downloaded all the files sequentially over 10 days and yet did not update their record for another 10 days so far after their final download. I am sure it is fine as I have heard others complaining the same thing from that school.</p>

<p>Also be aware that some schools are still have trouble retrieving the data from CommonApp and “merging” it into their own college data systems. My DS has one school that shows “downloaded” on CA but the school is still not able to retrieve his data. Its odd to me because I wonder then where exactly the data went that they downloaded! DS also has another school that still says “submitted” on CA because that school is still not able to even download the data! GC school forms (transcript, etc) and LORs have been in CA since Oct 10th! Every school seems to be having their own unique challenges in retrieving the data from CA.</p>
