Transcript "oops"

The grading period just ended at our sons' HS. I was checking their grades online when I noticed that last year, S1 got a "U" (unsatisfactory) for Interscholastic Activity. I have never even paid attention to them before, because they're extracurriculars and I was looking at class grades. I'm kicking myself for not noticing it. It also makes me annoyed with S1's guidance counselor for not mentioning it before she sent his transcript out to 10 colleges and some scholarships.

I emailed the GC to find out what the problem is, and to get her to correct it and resend transcripts. Am I concerned over nothing? S1 is upset. He has had no problems with any of his ECs, and has leadership roles in 3 out of 4 of them. He's a semifinalist for a highly selective scholarship and is worried that this might knock him out of the next round. Everything else on his transcript is excellent. (1st in his class, great grades, most rigorous classes, etc.)
Anything else I should do? Thanks in advance for your thoughts.

I wouldn’t worry about it too much. If it gets corrected then everything is fine! If not I don’t think it’s that big of deal, don’t fret too much.

This could play a small role in the scholarship decision. Probably will have no impact on admissions decisions. But, assuming it’s really an error on the transcript, it’s worth correcting since it could theoretically be viewed as a significant blemish. Any update or correction to the transcript really has to come from the high school to be considered reliable by colleges. If all your son’s schools are common app schools, this can be easily fixed. Encourage the GC to file an Optional Report as soon as possible with an updated transcript and/or an explanation. That may require more than just email contact with the GC. If that happens, a quick email from your son to each school to alert them the report has been submitted correcting the U would also be a good idea.

It it is indeed a mistake you should have it corrected and resent. If it’s not a mistake you need to have a sit-down with your son.

Thanks all, for your replies. I thought this was about ECs, but I was wrong. Apparently they are missing the form that gives the student credit for community service hours. I know his IB adviser had his form, but not sure what happened after that. This is a first year GC and she hasn’t exactly been on top of things in terms of getting things sent out on time, so I’ll have S1 follow up with the schools and scholarship foundation to make sure they receive a corrected transcript.
