I just checked my status and UVa hasn't received my transcript which I sent in with all my recs and other papers. How is this possible? I'm going to need freak out control!!!!!!!!!

Same problem here, my schools status shows it was sent well over a month ago, I believe its just a mistake with their filing system i'm personally not too worried about it

How long has it been since it was sent in? It takes a while for the system to update. Weeks in fact.

Worst case you can always resubmit it.

Hang in there.

postmark december 23...but they received all my other stuff from the same envelope

Same problem! I know mine was sent on November 1st..I don't know why they haven't received it by now.

did you contact admissions?

Listen to vistany guys. The mail room in uva admissions (and in every admissions department) is swamped right now. There are things you may have sent a month ago that were just opened today. And even if they were just opened today, they need a couple of days to put everything into the system and update it. Don't keep calling admissions to see if they got your stuff. If all 18000 applicants or so called to see if UVa got their stuff, wouldn't people who could be opening mail be stuck answering your phone calls? And keep in mind, most people submit their application in December, so the highest volume of mail would be coming in now.

I would wait until the first week of February before getting worried. At that point, I would go ahead and send them an e-mail and if I didn't get a response within 3-4 business days, I would call. If for some reason they haven't received your transcript, I'm sure they'll let you fax it in.

Jelabidin your stuff is sitting in a mail bin. Dean J was just saying earlier today that they are only now opening mail from mid Dec. Add the holidays and the deadline and I would say it will be a while for you.

November 1 is a bit more problematic. I would be concerned too after that much time. OTOH that common app site was really slow to update. Take a look at the recent thread on SAT II's and you'll see Dean J's words on the whole mail thing. You can also go to her blog.

Hopefully DeanJ will stop by this thread and let you know what to do. I just remembered that Dean J said that applicants receive email(s) if anything is missing.

On the blog, I've explained how things work.

Counselors usually send things before students submit their apps. All counselor docs are scanned into the system and put in a holding "drawer" to wait for the student's application to be submitted.

The night after the student submits their application, Common App transfers it to UVa's SIS (Student Information System).

The next day, staff members process each submitted app and go through the holding drawer to look for documents related to that student. There is also an electronic process that will comb the holding drawer to look for credentials related to applications on file.

If you submitted during the last three weeks, you are one of many thousands. There are not enough hours in the work day to process all the applications that come in over the course of one day. It will take many, many days to match up documents to applications that were submitted in December. The closer your submitted your application to deadline, the longer you will probably have to wait to see an update in your status.

Rest assured, we are working as quickly as possible. It is highly unlikely that your documents are lost. They are simply waiting in a holding file to be matched to your application. I think the 3rd week in January is when you should start to worry about documents not being logged on your status pages. We will probably be the ones to contact you if there is a problem.

[/QUOTE]
I'm pretty sure I posted on here somewhere that I was opening mail with a December 15th postmark the other day, on January 2nd. We open the mail in date order. We won't be working on the bins for last week for another week. The full staff (from Deans on down) will be opening mail for the next week. Check my blog for posts about opening mail...I actually enjoy it. :)

Thank you so much.

I encountered the same issue with my commonapp, and honestly I was worried about it too until I saw this thread. Looks like most of us applicants are in the same boat lol

hey, could someone tell me what "initiated" means nuder the application material status? It says that for my hs transcript, FGF form and mid year report statuses.

*under not nuder!!!

yes mine says "initiated" as well...what does that mean?

Don't panic! The same thing just happened to me at UW-Madison. I have had my application in since late November but my transcript never got there. I spoke to the woman in charge of sending transcripts at my school and she faxed it there overnight. It was no problem at all!

Dean J,

I am also interested to see what "initiated" means.

I have my transcripts intiated.

Would it say if my SAT scores and recommendations were intiated?

My file says incomplete.

My "Official HS Transcript" is missing as well. Also, "Official Transcript" (not "HS") is also missing and initiated.

What does this mean?

Folks, initiated means the item has been placed on your to-do list.

Please do not call your counselor in a panic, accusing them of not sending documents. Read my original post again. We will contact you in a few weeks if we get through all the processing and still don't have your credentials.

Please do not send duplicate copies of anything. It just slows down the mail opening and processing.
