A cautionary tale about submitting applications directly on a college website...

Thought I would warn you guys out there…my kiddo applied to about 10 schools. Submitted all the apps around 10/15. (Since one was due that early, we figured we’d grind it out and get them ALL done.)

So as most of you know, once you submit an app, most schools will send you an email within a week or so, acknowledging they received your application, and directing you to their admissions portal where you can check receipt of items and ultimately view your admissions outcome.

Thought it was weird that Nov. 15 rolled around and still NO acknowledgment/email from one big state university. So I called admissions and was told, “We have the transcript, but the application was just received this morning at 10am.” (Not possible, kiddo was at school all morning…and everything had been sent 3+ weeks ago!) But this rep insisted they had just gotten the app this morning (yes, I had her double check the name and address). She wasn’t very helpful and had the WORST grammar/phone manners, which is not confidence-inspiriting in a university, you guys.

So I decided to call again the next day and talk to a different rep, and I was glad I did. She was much more competent and well-spoken, and confirmed she received the transcripts and everything from kiddo’s school…but no application was ever received…even though we submitted it online through THEIR portal! Yikes! She even spoke to someone higher up who could look in a “different portal” and it wasn’t there, either.

Luckily we did all this very early so kiddo was able to redo and resubmit the application without being late…but lessons learned:

***TAKE A SCREENSHOT of your confirmation screen, or the screen that says submitted, and make sure there’s a date/time stamp! Even the username/password kiddo established to do the application wasn’t found in the system. I had nothing to “prove” we had done the application. If we had missed the timeline, that would’ve been important to show that we submitted before the deadline.

***CALL THE COLLEGE if you don’t receive a confirmation email and access to the portal. That could possibly mean something is amiss!

Good advice. My D submitted a few apps well before the deadline. She noticed that her essay had uploaded incorrectly to the Common App. It was filled with random punctuation marks all over the place. She then thought she should look at the first app she ever sent, because she wasn’t sure she had checked the essay. Yes, it had dozens of random punctuation marks and she was horrified. She emailed the school and attached the correct version of the essay. They were fine about it, because apparently the same had happened to other applicants. She did get in.

This happened two years ago, but I saw here on CC that this has happened to some students recently. Another instance is that D submitted an app but saw onnthe portal that the app wasn’t complete. Turned out her guidance counselor hadn’t sent the transcript. Students do need to be on top of their applications.
