aaarrggghhh-error on transcript!!! advice please

DS's first semester grades just came out this week and his school mailed them out to waiting colleges. Now, after the mailing, we look and see that there is an error on the transcript. His AP English grade, which should be a B (which isn't a great grade anyway), is shown as a B-.

Sigh.

Obviously the school will send out a corrected transcript, but how to let the colleges know that they need to swap out the incorrect one? I think this is a big dal becuase he is a liberal arts major and B- look so bad (the B is the first worst grade he has EVER had in English, he was sick the day of the final).

Have your S email or send a letter to the regional rep of each the colleges advising of the mistake and the fact that a corrected version is being sent. Then follow up(maybe with a phone call) to make sure it was received and the other one tossed.

three of the schools are huge bureaucracies where this type of error is hard to fix (UMich, UToronto, McGill), one reason that I am so freaked out. They are not likely to go searching for his file to correct this.

S applied to Michigan and was able to talk on the phone with someone from admissions. They were pretty responsive. It probably will be more of a pain though. Just follow up - someone should be able to help you if you're persistent. Good luck!

Sooooooooooooooo, this should also be on the thread for juniors looking at schools as things to do!

Always, always check the transcript before it is ever mailed to any colleges or schools, even for summer programs. It might take an extra day or two but it is worth the wait and the little effort to have an unofficial copy in your hand to proof it. And not necessarily to double check grades but address, birthdate, course codes, test scores if added, and anything else that could be WRONG.

I also kept the progression of transcript for each kiddo (5) so that way for registration purposes for the following year, they knew what to take and what classes not to take (based on prior siblings' experiences!).

Kat

The school mailed them before they were given to students. Big mistake. I am paying big doillars for this private school and I am pretty upset with them. There are only 24 seniors so it would have been easy to have them each proof their transcript before mailing.

Head of school was terrific, he had already had school registrar call all DS's colleges, and he was in the process of sending out corrected transcripts with explanatory cover letter to all, sending via FedEx. I think we'll be OK.

Spikemom
Glad that things seem to be working out.

We discovered two months after GC sent out her letters of recommendations that she mistakenly wrote the first half about another student and the last half about my son (my son has much better stats than the other student). Freaked me out, too.

GC checked her records and said that the error only happened at that one school, but she did email all of my S's schools, attaching a copy of the correct letter of recommendation. She also sent out the correct letter with his mid-year reports.

There is a lot that can go wrong with transcripts, letters of recs, etc.....at first I felt bad that I looked at the letter as I know they are supposed to be confidential, but now I am so glad that I did.
