Huuuge problem with my application...

Please read and give me some advice or share similar experiences you may have gone through.

On the 14th of December, I mailed an application folder containing application forms, a personal portfolio and financial aid forms to Hamilton College. I chose to mail my application because all the other graduates from my high school (one situated in Romania) now studying in the US mailed impressive and bulky folders to the admissions offices of the colleges they applied to and were accepted to pretty selective ones. I didn't want to break the tradition so please do not scold me for having chosen the less secure submission option.

Anyways, ever since the beginning of January, I have been in contact with the Financial Aid Office and the Admissions Office, asking them questions about my financial aid application and my college interview (which I submitted online through mycollegei.com). Both the guy from the financial aid office and the woman from the admissions office made it seem like they had received my application (the guy from the financial aid office actually told me he had the wrong version of the ISFAA and asked me to e-mail the right version). So I assumed everything was ok and my application had been received. However, the confirmation e-mail never came and when I e-mailed the admissions office asking them if anything was missing from my application, I WAS HORRIFIED TO READ THE ANSWER: We are sorry, but we have not received any application materials from you, neither online nor in the mail.

How can this be possible? If the Financial Aid Office has my application, it means that the package I sent reached Hamilton, which translates into the fact that the Admissions Office LOST MY APPLICATION.

What can I do? I e-mailed them again telling them that the Fin Aid office has my application, so it is not possible that my application materials never reached Hamilton. I will probably have to wait until Monday for the answer and I am so worried. What if the answer is: We are sorry, but we REALLY don't have your application? I won't even care how this could have happened, all I will care about is that Hamilton will never read my application and I will be so screwed. I really love this college.

Do you guys think that, if my application somehow never reached Hamilton or was lost by the Admissions Office, they will allow me to submit a new application now?

God, this is nerve-wracking.

Do you have any kind of a receipt from mailing the application?

Did you keep a copy of the application? If so, you could scan it into a pdf and email it to them.

I have an invoice and I can file a complaint and everything. But this will not help my case because even if they locate my lost application, it will be too late.

Yes, I could make another application in a couple of hours but I couldn’t scan it, it’s too comprehensive. I could use an express mailing service to make sure it actually reaches Hamilon in two days or so but I really want to be sure this is absolutely necessary before I do it, because it would be very expensive. I will probably call the Admissions Office on Monday and see what they say.

But guys, after reading what I wrote here, under what impression do you find yourselves? Do you think the application folder never reached Hamilton or did it reach the college but was lost somewhere within the Admissions Office (which I heard can sometimes be filled with huge piles of paperwork).

You certainly should call on Monday, but you need to have some measure of evidence and options for moving forward. There is no point in merely accusing them of losing it. You should point out that interaction with financial aid seems to indicate that it arrived. But it really does not matter where it got lost, just that they get another application in time to review it.

If you have an invoice for mailing it prior to the deadline, I feel that they will give you the benefit of the doubt and allow you to resubmit.
