my common app was downloaded on the 31st and I still haven't gotten an notifications or conformations from WM. I know its early and there's a lot of applicants so I am not overly concerned, but I was just wondering is this something I should be alarmed about?

No definitely not. If your application is downloaded, it means that the university has already transferred it to their processing system and it will be read by an admissions officer in the following months. Best of luck!

EaglesforLife, I believe there is a slight processing delay with Common App right now (about 3 business days). We have spent the past two days doing nothing but downloading applications. If you don’t receive an email from W&M by weeks’ end confirming receipt of your application, just contact us. We will gladly allow you to resubmit it.

so I still didnt get anything yet. should I contact you guys? and if so, should i do it by email or phone? and what exactly do i say?

You can either call 757-221-4223 or email admission@wm.edu. Just lets us know that you have not yet received an email confirming receipt of your application. Email is likely the best because the staff member who checks that email can check several databases whereas those of us who answer the phone can only check one.

Before you do contact us, please check all of your email spam/junk folders (and ask your parents to do the same) just to make sure you haven’t received the email.

We will be able to respond to you on Monday.

Semi-related to this thread:

As far as I can tell, you guys will be sending me an email when you have received all my required application materials…

Does this mean you will be sending me an email after you receive my mid-year report?

thanks WM,

I sent an email now. just going to wait and see.

halloimzack, we will send you one and your parents one email when we receive your Common App and W&M Supplement and a second when we match that with all other required materials (application fee, transcript, and standardized test scores). Or conversely, if one of those items is missing, we will send you an email letting you know what’s missing and ask you to resubmit whatever is missing.

We do not confirm receipt of mid-year grades. Those generally come in long after your application has been completed and begun the review process. Regional deans take time in late February/early March to match your mid-year grades with your application file and review those grades at that time.

EaglesforLife, if you emailed admission@wm.edu you should receive a response tomorrow or tomorrow night.

Oops, didn’t realize it’s after midnight. EaglesforLife, you should receive a response later today or this evening.

So do you guys send the second email as soon as you file all of the required materials? Or is there a delay from when you physically file the transcripts and when you send the confirmation email?

I’m only asking because my transcript was sent on 12/22/10 so I would imagine that it is filed by now.

As I read in your blogs, you guys are swamped with mail, so I’ll try to be a little more patient! I’m just getting super anxious, haha.

There can be a delay of several weeks between the time you get the first email confirming receipt of your application and supplement and the second confirming that your application is complete. We are trying to process over 12,000 applications and unfortunately, it just takes some time. We get crates and crates of mail each day that has to be opened, sorted, alphabatized and then matched with your application file and of course we have to do this for every piece of mail and every applicant.

Give us three weeks from the date of the email confirming receipt of your application to receive the second email. Everything sent is absolutely hear. It just takes time to match everything together.

Don’t be nervous. If for some reason, something didn’t arrive or got lost in the mail, we’ll just email you and ask you to re-submit whatever is missing. No penalties or anything. We’re pretty easy-going and just want to assist you in completing your application.

so just to confirm – if i haven’t received the first email, should i call (or email) the office at this point?

@croc

I emailed them and they replied pretty much telling me to wait.

corc and eagles, as of yesterday we still had over 2000 applications that we were processing from Common App so none of those 2000 people have received the initial email and your application could very well be in that group.

I would give us until the end of this week to make a dent in that processing and then if you still haven’t received the initial email, contact us next week.

Again, do not worry. If for some reason there was glitch of some sort, we will absolutely allow you to resubmit.

I got my email conformation today, thank you!

also I have a quick question, I’ve recently edited the essay that I submitted for WM supplment and was wondering if it was ok if i resubmitted with an updated essay? there’s no corrections or anything, it’s just that I added more stuff that I think can help me.

Glad you got your initial email. You can expect the second email confirming that your application is complete within a few weeks.

If you wish to send an updated copy of your essay you can do so by emailing it to admission@wm.edu as the body of an email or by faxing it (757-221-1242) or mailing it. Please be sure however that what you send is the final draft so that we can complete the review of your application in a timely manner.

Are they still downloading apps? Commonapp.org shows that my son’s application was downloaded on Jan. 1, but neither he nor we have received an email. I’m assuming our email address is somewhere in the application materials:-).

klpawl, as of this morning we still had about 1300 applications that are running through our intermediary software between Common App and W&M’s database. Your son’s app could certainly be in that group (in which case he wouldn’t have receive an email). You can also contact us at admission@wm.edu. We can check Common App’s system to make sure that his app is in fact in the queue.

Your son’s email was a required field on the Common App. Parent email is optional but if he added it in the parent section then we’ll email you both.

Thank you (and the staff). We’ll give it a bit longer.

Okay. If you don’t hear from us next week however, call us. We hope to have everyone through the pipeline by then
