Urgent: HMC Application Materials!

As the deadline is today, would appreciate a quick reply on this:

I am an international applicant, and I study in a school that uses the A-level system. My high school actually finished last year in 2014, and I am applying for fall 2015 admissions. I had already submitted my complete high-school transcript by the 1st January deadline. I have already taken my A-level examinations last year as well, and am currently awaiting my official A-level results (due in April, after decisions are released).

However, I checked my Applicant Status Page and noticed that I am still missing the ‘High School Mid Year Transcript’ and ‘High School Final Year Transcript’. However, the portal has already registered that I have submitted my ‘High School Transcript’ and ‘Secondary School Report’.

That said, my question is two-fold:

Firstly, what is the difference between the ‘High School Transcript’, and the ‘High School Mid Year/Final Year Transcript’? I have tried explaining through email that I sent all my transcripts in the ‘High School Transcript’ but I have not received a reply since 1 week ago.

Secondly, if, on the Applicant Status Page, my application is registered as incomplete (ie. some items are not marked as ‘received’), but they are in fact already submitted to them, just under a different title perhaps, would they immediately disregard my application?

Please help, the deadline is today and I have tried contacting the admissions office to no avail! :frowning:

You are probably ok if the transcript you submitted was the final one for your high school classes. They have lots of applications to review, and the year end one is definitely not required for them to make an admission decision. Probably no one has looked closely enough to realize that this one transcript covers all 3 categories. Sounds like you emailed them, too. I don’t think you need to do anything else.

Thanks! I have realised, though, that there seems to be another problem with my application materials:

As my school system is not continuous (ie. the High School system as practised in the US), but rather Secondary School (Grades 7-10) followed by Junior College (Grades 11-12), my Guidance Counselor advised all students to submit the last transcript from Secondary School (Grade 10) and then the two transcripts from Junior College (Grades 11-12). I did this when I submitted my application materials, but when I reviewed my submission and HMC’s application requirements a few days back, I realised that I might have needed to submit the Grade 9 transcript as well.

I am thinking of sending in my Grade 9 transcript just in case, but I have two questions/concerns with this:

Firstly, am I required to get my counselor to submit this for me, or can I submit this additional transcript myself? Secondly, as the deadline for late materials is actually on January 21st, would sending in my Grade 9 transcript late seriously undermine my application?

I am really worried on this, and would appreciate any inputs on this!

Hmm, I think you should notify admissions that you just realized that this gap exists in your transcripts, and you will be working with your counselor to send it ASAP. Typically they want an official copy (meaning one sent by your school if possible). Did your counselor send in your grade 10 transcript? Assuming they did, you should also have them send the Grade 9 one. As long as you tell them it is coming, it likely won’t hurt your chances. They have lots of applications to review. I am not sure how your counselor has been sending transcripts, but some kind of upload or email would be a better idea than snail mail at this point.

Alright, I have got one of my teachers in my High School to email it in instead, because my Guidance Counselor isn’t free at the moment (I’m trying to hit the 21st January deadline in the California timezone). Is that alright?

Seems okay to me… but I am not in admissions. :slight_smile: However… it is Jan 22 already in California. I still think you should drop an email to admissions on this if you haven’t yet.
