Financial Aid email box full?

Anyone else trying to email their tax returns to meet the 3/1 deadline tomorrow and getting an undeliverable mail message from “tre-stac@cms.mail.virginia.edu” because it is full? Odd because I received an acknowledgement from SIS that they received the email, probably tried to forward internally to their system box and bounced a minute later. Any suggestions? Of course the office is closed. So did they receive it or not? They tell you not to both email and fax the same documents, but the 3/1 deadline is apparently firm.

I have a daughter who is a current student and a daughter who was just admitted. The financial aid people are asking us for a tax transcript for each, which we uploaded via sis, but we did have to clear the cache between each upload. Our due date was March 24th, though, so we weren’t in a time crunch.

Did you click on the taxes to see the March 1 deadline?

I couldn’t find anywhere to upload anything on SIS (son is a prospective student, applied regular decision). I emailed pdf’s of everything to the SIS@virginia.edu address as instructed - twice. First time received a response from SIS that they received my email, both times received a failure notice from tre-stac@cs.mail.virginia.edu. I was considering emailing just one return/form at a time - maybe the entirety of the files is too large for their server. Surely they would be anticipating a huge crunch right before the deadline… I notice their email went down a couple of days ago as well. I really don’t want to print out everything and fax - that will take even longer, if it goes through at all. So tired of this process… VERY FRUSTRATING!

If you click on the actual request in the to-do box, it will take you to a screen that provides more detail. It is from that screen that you can upload a document. If it doesn’t take, you may have to clear your cache out.

Thanks, @oldUVAgrad. There are no requests in the to-do box, probably since my son is still just an applicant. Your daughters either attend or are accepted (congrats!). The SIS help desk said several people have had the problem today, but they can’t figure it out and escalated it to Infrastructure Support. Won’t hear back until Monday. I’ll have to figure something else out…

Sorry, Yocco! I have struggled with the frustration of technology when it doesn’t work properly, and it can be maddening. One time a couple of years ago I resorted to driving to Carruthers Hall (we are local) to deliver the document that was needed. I hope they figure it out soon!

If I could drive there, I would (I’m in PA). I’ll try sending again tonight, again tomorrow morning. If still kicks back guess I’ll have to fax it (if that still works). The systems guy gave me a ticket number, but don’t know if that will be adequate to meet the 3/1 deadline. I read a twitter post somewhere that technology glitches aren’t an excuse for late filing, but time will tell I guess. Thanks for your help.

@Yocco1 My DD is an applicant only at this point, and she had a To Do list with function to upload just as oldUVA grad described.

@catmatmc Interesting… I assume you are looking on the applicant’s Student Center page that shows the box “View Decision” in the lower center of the page? Looking to the right there is a box that says “To Do List” - my son’s says “No To Do’s”. Are you looking somewhere else? I just printed everything out (32 pages!) and wrote his name and ID # on the top of every page. Haven’t run into this problem with any other schools my son applied to. I have spent HOURS on just UVa (bouncing emails, corresponding with the help desk, etc.) and he probably won’t get in anyway since he’s OOS. What a waste of time.

That’s the one. Under To Do list, I have a request for 2 documents listed. I click on those links, and get a page that has a upload doc button

@Yocco1, is it possible that one of your emails did take and that is why it is not appearing on the to do list? Usually the item disappears within a couple days if they have what they need.

@olduvagrad There was anything in the To-Do list from the get-go… I looked there first to see if there was a simpler and more SECURE way to upload my tax returns. There was nothing under the To-Do list or Financial Aid sections. Even if one of my emails went through (all of them bounced, even using a different email address to send), it is unlikely they could have processed them yesterday since someone would have to physically look at every file description and categorize or label it. It appears my fax went through today, so if they try to tell me they didn’t have the info in time they’re going to get an earful. A school of that size and reputation with tens of thousands of applications but not the technology to handle the deadline crunch? I can see a bottleneck for a short period, but not 24 hours. And knowing this is a huge deadline, they don’t have additional staff on systems support? Inexcusable. My FAFSA and CSS Profile were filed in January, so they should have prepared a to-do list for my son (personal and business tax returns, etc.) Maybe they only do that for accepted students… Looks like we can start a new thread for the portal-change watchers!

I definitely agree that the overall system is lacking. My daughter also applied to some schools that use IDOC. We uploaded all the required documents 2 weeks ago, but as of yesterday, they have not yet “processed” them. We have been assured that the schools will see that she uploaded weeks prior to the deadlines and won’t be penalized, but who knows for sure. We know the schools have the FAFSA and CSS. At this point, she is glad that she has UVA complete and ready to go.

I did have to do the cache clearing, and a log off/log on between uploads.

I have four things to upload by the middle of March. I have no March 1st deadlines…should I be worried or just stick to my deadlines?

@peaches333 Our daughter’s doc deadline was the same as yours (beyond FAFSA/CSS). We are just on a tear this weekend :smiley:

@peaches333 If you are uploading to your SIS To-Do list, it might not be an issue, but certainly if you are emailing anything, I would avoid today and probably the next couple of days, then anytime between then and at least several days prior to the deadline, since the 15th falls on a Sunday and the offices are closed in case you have an issue like I did. Just not worth the potential aggravation. Good luck!

@peaches33 My daughters’ deadlines were March 23 and March 24.
